In every event, there’s an organiser who is considered a host. Since management can be a herculean task, there may be need to seek help.
Your event might be a concert, wedding, product launch, seminar, exhibition, sports and games competition, etc.
In this guide, I’ll share 6 things to get you started when you’re planning out an event.
1. Have a team
Whether you’re an introvert like me or or an extrovert like Eniola Adeoluwa, you need to work together with others to achieve maximally.
You need them because you’re not omnipresent and you need to build strength where you’re weak.
With your team, you’ll be able to brainstorm ideas on how to make everything eventful.
You’ll deliberate on:
- purpose of the so-called event
- date, time and venue of the event
- what type of audience you want
- how to reach out to them to attend
- how much is needed for the event
- sources of finance to fund the event
2. Delegate to team members
Appoint roles to team members. As the day advances, more and more tasks will need to be completed.
As money is a key factor in event, appoint a treasurer. Also, a secretary to keep the record of meetings which can be used to track your progress in the present and after the event.
Don’t forget to assign those that will manage logistics, clothing, food and other activities if necessary.
3. Publicise your event
Go all out to market your event. Since you’ve brainstormed on your target audience, next is to place your event in front of them.
Depending on your budget, you may decide to run advertisement. Don’t forget that by this time, you already have created social media accounts which can serve as a go to place to learn about your event.
From your budget, have someone design a detailed and captivating flier that can reflect the face of your brand.
4. Listen to your team’s inputs
Don’t ever think that as the idealist and team leader, you can neglect the advice from your team.
Pay attention to detail and don’t leave any stone unturned.
In fact, in the process of adopting new ideas, you may have something a little bit different from what you originally mapped out. It’s all for the best!
5. Secure funding through sponsors
Bill your team and have sponsors. One major problem faced by most events is lack of resources. How do you fix this in your planning?
Task every member of your team with certain amount starting from you, the team leader.
No matter how small it is, you now have a source fund you can work with.
Next, decide on accepting sponsorship by pitching to your friends, family, colleagues/ boss at work for financial support.
You can do this by writing a formal letter of invitation, asking them to support/ sponsor your event.
How much you get from sponsors is determined by their financial strength and who you are to them.
6. Appreciate your team and sponsors
Don’t forget to extend your appreciation to sponsors who have supported you financially. You can write a letter of appreciation.
After your first event trial, you’ll surely find loopholes you’ll need to fix and get even better. Good luck!
